We are looking for a Full-time 40 hours/week Hospice Scheduler - Clinical Team Administrative Assistant.

The HOSPICE SCHEDULER - CTA Clinical Team Administrative Assistant assists Hospice Clinical Managers and supports the clinical staff to improve communication and ensure quality patient care. Acts as the key link between clinicians and clinical managers.

Essential Functions:

1. Assures scheduling is done on a timely basis (daytime, evening, weekends and holidays).

2. Ensures appropriate assignment of new admissions and resumptions of care in consultation with managers.

3. Adjusts schedule to meet expected productivity.

4. Projects daily staffing needs.

5. Coordinates staff’s daily workload, assuring continuity of care.

6. Serves as a scheduling resource to team members, Intake Department and patients.

7. Provides clerical support to clinical managers and clinical staff (i.e., meeting minutes, letters, flyers, faxing, etc).

8. Assures service satisfaction through appropriate communication with staff, patients and Intake Department.

9. Communicates with per diem and contract staff to update availability.

10. Projects monthly work schedules for nurses and updates scheduling screen with oversight of Clinical Managers.

11. Schedules holiday and weekend rotation, vacation schedule and on-call beeper rotation with oversight of Clinical Managers.

Non-Essential Functions:

1. Assures Agency compliance with all federal and state laws as well as adhering to the Norwell Visiting Nurse Association, Inc. Corporate Compliance policy in the prevention of fraud and abuse on behalf of the Agency.

2. Performs other essential duties as assigned.

Skills and Abilities:

• Able to read and write English.

• Proficient in Microsoft Word and Excel

• Excellent computer and keyboarding skills required

• Congenial and positive attitude

• Able to function cooperatively as a team member

• Highly organized, flexible and dependable

• Able to work under pressure and meet deadlines and meet the agency’s attendance requirements.

• Able to sit for prolonged periods (usually at computer)

Education:

• High School or greater education, AS in Secretarial Science preferred

Experience:

• Minimum of two years of office (clerical) related experience required, in a health care setting strongly preferred.

• Prior experience as multi-disciplinary scheduler preferred.
